The Pilot Mound Hockey Academy (PMHA) is an academic based, 10-month Canadian Sport School Hockey League (CSSHL) school, located in Pilot Mound, Manitoba, Canada and is home to 80 male and female student athletes, ages 13-18, who live in dormitory style accommodations. 

Reporting to the PMHA General Manager, the Dorm Parent is either a full-time or part-time live-in position from approximately August 15th to July 15th of each year and oversees all tasks and activities related to the dorm and student athlete life experience for all PMHA student athletes. This includes preparing for student athlete arrival in August, taking on full Dorm Parent responsibilities from September to June, and for annual inventory and dorm clean up in July. 

When on shift, the Dorm Parent will stay onsite at the dorm residence and work with all PMHA staff to maintain a safe, healthy, and engaging student athlete atmosphere and experience. The Dorm Parent must be willing to take a proactive, engaging approach to working with student athletes to provide support and guidance, resolve problems and conflicts, and to offer academic, disciplinary, and moral guidance as needed. The Dorm Parent is also encouraged to travel with the team(s) from time to time and schedule permitting in order to gain and enjoy the team travel experience and assist the PMHA coaching team as needed.

The Dorm Parent will be a caring, energetic member of the Pilot Mound Hockey Academy Team, demonstrating a passion for working with adolescents. This person will be organized and have excellent interpersonal and communication skills. This person must be resilient and reliable, while demonstrating an ability to build a strong community culture within a residential environment who demonstrates sound judgment and thoughtful and informed decision-making.

Duties and Responsibilities:

August:

  • In collaboration with the PMHA General Manager, review all applicable Student Life related policies, processes and procedures and ensure applicable documentation is ready to welcome student athletes in late August
  • In collaboration with the PMHA General Manager, prepare all dorm rooms, bathrooms, dining area, common areas, etc. to ensure they are ready, presentable, have adequate furniture and supplies, and an aesthetically pleasing presentation in order to welcome student athletes in late August
  • In collaboration with all PMHA staff, assist with organizing PMHA Welcome Week
  • If needed and in collaboration with the coaching team, assist in preparing dressing rooms, including organizing and placing equipment and creating an aesthetically pleasing presentation in order to welcome student athletes in late August

From September to June:

  • Establish nurturing and trusting relationships with student athletes, parents, teachers, PMHA coaching staff, and the PMHA ownership group
  • Maintain confidentiality in all aspects of the position
  • In conjunction with the PMHA General Manager, create and implement processes, procedures, and guidelines related to the residential, supervisory and safety elements of the PMHA Student Life Program
  • Foster PMHA culture, values, and standards by leading by example 
  • Cultivate a safe, nurturing, structured, and comfortable residential environment for the student Athletes
    • Ensure respectful interaction between all involved
    • Maintain order and enforce rules and processes as set out by PMHA
    • Be available, onsite, regularly visible, and present throughout PMHA dorms, common areas and recreation complexes
  • In cooperation with PMCI, PMHA management, and PMHA Coaching Team, monitor and assist with the academic progress of student athletes, implementation of the Academic Policy, and acting as liaison with school teachers, Principal, and PMHA coaches. 
  • Always ensure knowledge of student athlete whereabouts
  • Ensure student athletes are up and attending meals, classes, and activities as appropriate
  • Attend and coordinate relevant academic progress meetings
  • Escalate student life related issues and concerns to the PMHA General Manager as required
  • Coordinate transportation services for student athletes to school, appointments, airport etc. as needed
  • Maintain curfews as set by coaching staff / PMHA guidelines
  • Participate in the PMHA Food Services Program by providing feedback and opportunities for improvement to ensure the program continues to provide high level nutrition that properly fuel elite athletes
  • Coordinate with PMHA Food Services regarding pre and post game meals, meal time changes, and travel meals/snacks preparation
  • In collaboration with the PMHA General Manager, monitor and maintain in good order the residential facilities
    • Supervise and maintain chore groups and chore activities 
    • Coordinate student athlete volunteer opportunities within the community
    • Ensure cleaning, laundry and other duties are being performed
    • Ensure all common areas are clean, neat, and tidy.
    • Ensure regular dorm room checks and maintenance of individual dorm rooms are maintained in a neat and tidy manner
    • Communicate necessary maintenance concerns to the PMHA General Manager
    • Ensure timely and accurate completion of applicable student life checklists and reports
  • Supervise and coordinate evening, weekend and additional recreational activities for student athletes that extend beyond their hockey interests
  • When possible, travel with PMHA teams in order to gain and enjoy the team travel experience and assist the PMHA Coaching Team with travel logistics and team activities
  • Respond to emergency situations as required
  • In collaboration with the PMHA General Manager, ensure a safety program is in place regarding fire exit, emergency plans and all other related materials and moc evacuation drills
  • Escalate building maintenance concerns to the PMHA General Manager as required
  • Coordinate season end processes to prepare student athletes to depart PMHA, including ensuring dorm rooms are cleaned out, any damage identified and documented, etc.

July: 

  • In collaboration with the PMHA General Manager, ensure all applicable Dorm Parent documentation, filing and record retention requirements are complete, accurate and up to date
  • Clean out remaining student athlete items from dorm rooms, common areas, dressing rooms, etc. and coordinate the return of those items to non-returning players or donation
  • Ensure all dorm rooms, bathrooms, dining area, common areas, etc. are free of debris and are neat and tidy and ready for janitorial to conduct a deep clean

Throughout the Year:

  • Attend staff training and professional development activities as required
  • Continue to expand professional knowledge of residential/dorm life supervision
  • Other duties as set out by the PMHA General Manager

Qualifications: 

  • Minimum of a Certificate in a related field, with a bachelor’s degree preferred
  • Minimum of 4+ years’ directly related experience in residence/dorm life supervision
  • Current and valid membership within the Residence Life Professional Association (RLPA) or similar professional association considered an asset
  • Demonstrated commitment to providing a supportive, inclusive community for student athletes to live, learn and flourish
  • Demonstrated ability to work within a team environment
  • Demonstrated understanding of student athlete needs and experiences
  • Demonstrated leadership skills and abilities in conflict resolution, mediation, crisis management, critical thinking, creativity, and flexibility  
  • Must be a caring, energetic individual with a love of working with adolescents
  • Excellent verbal and written communication
  • Strong interpersonal, organizational, and problem-solving skills 
  • Willingness and ability to be on site at all times.  Time off will be provided on a scheduled basis and when no student athletes are on site
  • Experience working within a residential setting is preferred
  • Comfort in working within a multicultural environment
  • Familiarity with technology and social media applications is considered an asset
  • Possess a valid driver’s licence
  • Provide a current and clear Criminal Record and Child and Adult Abuse Registry check
  • An equivalent combination of education and experience may be considered

Typical Dorm Parent Daily Schedule:

  • 8:00am – 9:00am: Grade 10-12 Morning Check In
  • 9:00am – 9:30am: Grade 8/9 Morning Check In
  • 9:30am – 9:45am: Camera Review
  • 9:45am – 10:45am: Building Check / Walk Through
  • 10:45am – 11:45am: Progress Notes Updating
  • 11:45am – 12:25pm: Prepare Lunch Meals (Hot Lunch Shuttle to School, etc.)
  • 12:25pm – 1:15pm: Lunch Supervision
  • 1:15pm – 4:00pm: Dorm Checks, Activity Planning, Rest
  • 4:00pm – 5:30pm: Supervision, Shuttle to Activities
  • 5:30pm – 6:00pm: PMHA Family Supper Supervision
  • 6:15pm – 7:15pm: Study Hall, Education Series Supervision
  • 7:15pm – 9:30pm: Activities, Supervision, Rounds, Walkthroughs
  • 9:30pm – 10:00pm: Chores and Get Ready for Bed Supervision
  • 10:00am – 11:00am: Lights Out Rounds, Walkthroughs
  • ** Schedule shall be adjusted for activities, emergencies, late curfew, PD days, etc.**
